"All contacts", system groups and own groups

An important instrument for structuring and organising your address book is the use of groups. Groups are managed and accessed via the left-hand side in the address book, the navigation area. Here there is an essential separation between the system groups in the upper area and your own, self-defined groups in the lower area. A contact can be assigned to several groups, but only once to a specific group.

All contacts

The basis of all groups is your global contact list "all contacts". Every contact that you have created or imported and every unknown contact that you have confirmed is listed under "all contacts". If you delete a contact, it is removed from "all contacts". A contact is always listed with its display name under "all contacts". Since the system treats a distribution list as a contact, it is also listed under "all contacts".

The "private", "business" and "mailing list" system groups

System groups are groups that cannot be deleted by you. If a contact meets certain criteria, it is automatically assigned to one or more system groups. For example, every contact that has private contact data stored is automatically assigned to the "private" group. If business data has been created for the contact, it is assigned to the group "business". If private and business information is stored, the contact is assigned to both groups. If you create a distribution list, it is automatically assigned to the group "distribution list". Only distribution lists can be found in this group.

The "unconfirmed contacts" system group

The system group "unconfirmed contacts" is an exceptional role. No contact from "all contacts" can be assigned to it. No contact listed in this group is listed in "all contacts" until you explicitly confirm it. To do this, select one or more unconfirmed contacts, determine for each selected contact whether it should be private or business and click on the "confirm" button. each confirmed contact is transferred to the address book, i.e. to "all contacts", and removed from the "unconfirmed contacts" group. If you use the same recipient address twice when composing an e-mail, but it is not assigned to one of your contacts saved in the address book, this e-mail address will be listed under "unconfirmed contacts". This serves the purpose of ensuring that this e-mail address is taken into account in the auto-completion in future, but does not necessarily have to belong to one of your contacts.

Own/Private groups

You can also create your own groups and assign any contacts to them. Each group created is also taken into account by the auto-complete function. This can be very useful if you communicate regularly with a certain group of people. In this way, you do not need to enter all contacts individually, but simply enter the group name and the assigned contacts are automatically inserted into the input form of your message in a recognisable way. The system automatically selects the default e-mail address you have specified. However, if you would like to use a stored e-mail address for a contact that differs from the standard address, you can change this directly in the input form of the new message.
